How Booking Hosts and Event Staff Works in Bangkok

The single most expensive misunderstanding in a Bangkok bachelor trip is the word staff. A group sends one line — we want girls at the table — and gets a number back that has three different billing systems inside it, none of which the group has been told about.

There are three distinct jobs. They are hired differently, billed differently, and two of them are not even invoiced by the same company. Once a group understands which of the three it actually wants, the price stops being a mystery and usually falls.

Three jobs, three separate bills

The first is an event host. One person, hired by us, whose entire job is to run your night: the schedule, the payments, the driver, the venue, the man in your group who has lost his phone. The host works for the group.

The second is promotional or event staff. These are the people who work a booth, a shoot, a brand night or a product launch. That is a daytime commercial job, invoiced by the day.

The third is venue entertainment staff, and this is the one groups mean and almost never say. These are engaged by the hour by the venue itself, not by us. They appear on the venue's bill, not on ours. We arrange it, we tell you what it will come to, and the money changes hands inside the club.

A group that asks for one and is quoted for another is the origin of most of the arguments that happen on the pavement at one in the morning. It is also why two quotes for what looks like the same night can differ by a factor of three: one of them has a room minimum inside it and the other does not.

What a host actually does

An event host runs your night. A host is from ฿4,800 for four hours, ฿7,800 for eight, and ฿22,000 for twenty-four hours including the overnight. Every figure includes VAT.

What the money buys is one sober person who is not on the trip. They hold the plan, they pay the driver, they know which venue needs a call before you arrive, they handle the neighbour at the villa, and they keep the schedule when eleven men stop caring what time it is. On a villa night they also know where the pool pump switch is, which sounds trivial until midnight.

The alternative is that the job lands on the best man, who is on the trip, and who by eleven o'clock is not the person you want holding the budget.

Promotional and event staff, and why the notice matters

Promotional and event staff are from ฿7,900 for an eight-hour day, invoiced in Thai baht. Give us fourteen days for these and you get a shortlist with photographs. Give us three and you get whoever is free.

That sentence is the whole of it. This is the one category where you genuinely see who you are booking before you confirm, and the only thing that buys you choice is notice. A fortnight is not us being difficult. It is the time it takes to reach people who are already working, get a yes for your specific date, and put a shortlist in front of you that is real rather than decorative.

Venue entertainment staff, and who is actually billing you

Venue entertainment staff are engaged by the hour by the venue itself. At The PIMP, our signature venue, a PR hostess is ฿2,000 for the first hour and a performance hostess is ฿3,000. After that the rate is ฿1,000 an hour for either. Four performance hostesses for two hours is ฿16,000, and there is no service charge on top of it.

Two things follow from that structure and both save money. The first hour is the expensive one, so a long booking is proportionally cheaper than a short one. And because the venue bills it, the figure is the venue's figure — we are not adding a margin to a number the club set.

Why two for four hours beats four for two

Venue staff time is billed by the hour from arrival, and the first hour is the expensive one. Two staff for four hours costs less than four staff for two hours plus a room you reserved in order to seat them.

Groups arrive with the opposite instinct. They think in headcount, because headcount is the part they can picture. The bill is built on hours, and the hours are the part nobody pictures at all.

How many people a group of twelve actually needs

Fewer than the group thinks. For a group of eight, three or four is usually right. More than half a dozen and the group stops talking to each other, which is the opposite of the thing the trip was for.

A group of eleven from Manchester once asked for eleven staff and a private room for a Friday in January. We arranged it, it was paid for, and it was the flattest party we have run. Eleven strangers in a room does not make a party, it makes a queue. We now ask the size of the group before we take the headcount, every time.

Where the seating comes from

This is the mechanic that costs groups the most money and is published almost nowhere.

Seating is allocated by the size of your entertainment booking, not sold separately. At The PIMP a small sofa comes with a party of two staff, a stage-side sofa with three, and a large sofa with four. Groups who do not know this reserve a private room they did not need and commit to a room minimum of ฿10,000 to ฿20,000 simply to sit down.

In other words: book the entertainment correctly and the seat arrives with it. Book the seat first and you have paid twice for the same evening.

For reference, a package that bundles the two is priced as one thing. One table, one bottle and one staff member for two hours is ฿10,500. A large sofa with a four-bottle package and four staff for two hours is ฿37,000.

The ceiling, and how the tab is stopped

The PIMP assigns a VIP host to every group, and that host holds your ceiling. You state a number on arrival and the tab is stopped there.

This is worth asking for at any venue, and worth doing even when nobody is worried about the money. A stated ceiling removes the one argument that ruins the last hour of a good night, which is the argument about what somebody agreed to two hours earlier when the music was loud.

It also settles the question of who is paying for what before the group arrives rather than after. In practice the number a group states on arrival is rarely reached, because the ceiling changes how the group orders rather than what it is allowed to order.

What you can see before you confirm, and what you cannot

For promotional and event bookings: photographs and a shortlist before you confirm.

For venue entertainment staff: no. Nobody is listed on this website. We do not publish a catalogue of people, we do not rate anyone, and we do not put photographs of individuals on this site.

Some groups find that frustrating and a few go elsewhere for it. It is a deliberate decision and we would rather lose the booking than run a catalogue. What we will tell you, plainly, is what the staff at a given venue are like and what they are not, including the language question: hosts speak English, that is the job, and venue staff vary, and we will not pretend otherwise.

When somebody different arrives

The commonest failure in this market has nothing to do with price. It is that a group books from a photograph and somebody else turns up.

It happens for three reasons, and all three are structural. The person taking the booking is not the person supplying the staff. The photographs are recycled from an old profile. Or the operator is working from a list nobody has checked against who is actually available on your date. None of those is fixed by paying more, and all three are why an arrangement made verbally on a Thursday night is worth exactly nothing on the Saturday.

The defence is dull and it works. A booking that is confirmed in writing, for a named date, against people who confirmed that specific date, does not have this failure mode. That is the entire reason a process exists where a text message would be faster.

How much notice we need

Fourteen days for promotional staff. Two or three days for a host. Inside forty-eight hours costs ฿1,000 more and some dates are simply gone.

If it changes, tell us more than forty-eight hours out and we move the booking at no cost. Inside that we will try, and on a Saturday in December we will probably fail.

Doing it yourself

It is entirely possible, and for a small group it is often right. Two or three men who know Bangkok, who have a venue they already like and a night with nothing scheduled, do not need a host and should not pay for one.

The point at which it stops working is around eight men. Below eight, one person in the group can hold the plan and still enjoy the evening. At eight and above the plan needs somebody whose only job it is, because the group has split into two conversations, two taxis and two ideas about what happens next, and somebody has to decide.

The other point at which it stops working is the venue side. A group arranging its own entertainment at the venue on the night pays the venue's walk-up structure and takes whatever seat is free, which is the two mechanics described above working against you rather than for you.

What we will not do

We do not arrange anything verbally, we do not arrange anything on the night, and we do not accept a request that falls outside what we arrange. What we arrange and invoice is hospitality and entertainment work only: hosting, guest management and venue entertainment, for the hours agreed. That is the full scope of it, and it is the same answer every time it is asked.

Two practical rules sit alongside that. The PIMP is twenty-one and over, with a passport or a national ID, and it will be checked. And anything ordered at the venue goes on the venue's bill, with tipping discretionary.

How the booking actually happens

Tell us the date, the number of men, and the setting — a rooftop in Sathorn, a nightclub table in Thonglor or Ekkamai, a villa, a boat on the Chao Phraya, or a private room. You get a figure and an availability answer the same day, in chat, in writing. We invoice as a company.

That is the whole process, and the reason to use it is not access. It is that somebody has already made the expensive version of this booking several hundred times, and writes it down before the group is standing in a doorway deciding.
